CMS summary for rosters etc.

Summary of how faculty will use Campus Solutions to work with class rosters:

 

A. View and Print Class Roster (full tutorial available now at http://cms.sfsu.edu/faculty-staff-training ) 

  1. Faculty log into the Campus Solutions Faculty Center from the SF State Gateway: Select the “Login” link at the top of the www.sfsu.edu website. Select the “SF State Gateway” link. Enter ID and password. 
  2. Select the “Class Services” link at the bottom of the navigation panel on the left side of the page.
  3. Click the “Fall 2014 Faculty Center” button to enter the CS Faculty Center. You should see a list of classes you are teaching. If this list is incorrect, contact your department office. 
  4. From the list of classes, click the “Class Roster” button – the icon that looks like a group of people – on the left of the table. You will see a list of students enrolled in your class (enrolled, or on the wait list, or ones who have been dropped). 
  5. Select the “Printer Friendly Version” link at the bottom of the page to view and print a roster.  Note: The wait list for classes will be expunged (deleted) late Sunday night before the official start of Fall 2014 term. If faculty want to review the wait list to help them make enrollment decisions after the start of classes, they should print the wait list (available in the class roster) prior to Sunday evening.
  6. Click the download icon at the top of the Academic Level column to download the roster in Excel format. (You may have to allow a pop-up window to see the downloaded file, depending on your browser settings.)

B. View Prerequisites or View Multiple Class Rosters at the same time (tutorial in development, expected by 8/22/14)

  1. Log into the Prerequisite Roster from the SF State Gateway: Select the “Login” link at the top of the www.sfsu.edu website. Select the “SF State Gateway” link. Enter ID and password. 
  2. Select the “Class Services” link at the bottom of the navigation panel on the left side of the page.
  3. The Prerequisite Roster is available at the bottom of the Class Services page. Select the correct term and click the “Go” button. [Note: The Prerequisite Roster is still in review; the link will appear when it is approved and released to all faculty the week of August 18-22.]
  4. You should see a list of classes you are teaching. If this list is incorrect, contact your department office. (If you have administrative access (department chairs, AOCs, Program Coordinators, etc.), you can search for specific classes by ID number or words.)
  5. Click the checkbox on the left side of the row for each class section you’d like to view – you can choose as many or few as you wish. Click the “Get Class Roster” button to load the rosters.  It may take up to a minute for this to load – please be patient.
  6. A list of the classes you selected will display, followed by the combined rosters for all selected classes.
  7. Enter prerequisite courses you would like to check in the “Enter prerequisite course:” field. Click “Add” to add that course grade column to the class roster table. Select prerequisite tests from the “Select test type: field. Click “Add” to add that test score column to the class roster table. 
  8. Click the “Show/hide columns” button to select additional fields to add to the class roster: email, major, minor, enrollment status, and more.
  9. Click the “Copy/send email button to generate a list of email addresses or compass an email to the entire roster.
  10. Click the “Save to CSV (Excel) button to download the roster as a spreadsheet file.

C. View permission numbers for a class (tutorial in development, expected the week of 8/25/14

  1. Faculty log into the Campus Solutions Faculty Center from the SF State Gateway: Select the “Login” link at the top of the www.sfsu.edu website. Select the “SF State Gateway” link. Enter ID and password. 
  2. Select the “Class Services” link at the bottom of the navigation panel on the left side of the page.
  3. Click the “Fall 2014 Faculty Center” button to enter the CS Faculty Center. You should see a list of classes you are teaching. If this list is incorrect, contact your department office. 
  4. From the list of classes, click the “Class Roster” button – the icon that looks like a group of people – on the left of the table. You will see a list of students enrolled in your class (enrolled, or on the wait list, or ones who have been dropped). 
  5. To generate permission numbers, click the “hashtag” icon, which looks like a number sign - #  [Note: Permission numbers are available after the start of classes on August 25.]
  6. This system does not allow you to send a permission number to a student automatically, so you must record one of the permission numbers in the list and communicate it to a student individually (email, printout, etc.)  As students use their permission numbers, the class roster list will be automatically updated.
  7. If you need additional permission numbers, contact your department office.

D. Drop students from your class roster (available when classes begin on 8/25/14; tutorial in development, expected the week of 8/25/14)

  1. Faculty log into the Campus Solutions Faculty Center from the SF State Gateway: Select the “Login” link at the top of the www.sfsu.edu website. Select the “SF State Gateway” link. Enter ID and password. 
  2. Select the “Class Services” link at the bottom of the navigation panel on the left side of the page.
  3. Click the “Fall 2014 Faculty Center” button to enter the CS Faculty Center. You should see a list of classes you are teaching. If this list is incorrect, contact your department office. 
  4. From the list of classes, click the “Class Roster” button – the icon that looks like a group of people – on the left of the table. You will see a list of students enrolled in your class (enrolled, or on the wait list, or ones who have been dropped). 
  5. To drop a student, select the student row by clicking the checkbox on the left side of the row, and click the “Drop selected students” button at the bottom right of the screen.  [Note: The ability for faculty to drop students is only available after the start of classes on August 25. Students can ALWAYS drop themselves from a class, until the Add/Drop deadline of 9/8/14.]
  6. A warning box opens, asking you to confirm your decision to drop the listed students. Click the appropriate button to continue.
  7. Students are dropped from this class.
